Your AI Conversation May Not Stay Private

Artificial intelligence tools make it incredibly easy to analyze documents, rewrite emails, troubleshoot problems, and brainstorm business ideas. Unfortunately, they also make it incredibly easy to expose information that should never leave your company.

Recent reports revealed that some Claude conversations and AI-generated content shared through public links appeared in Google and Bing search results. The conversations were private by default, but once users created shareable public links, search engines could potentially discover and index them. Some reportedly contained personal information, business documents, code, résumés, and other sensitive material.

This is an important reminder: a link that feels private is not necessarily protected.

Employees may copy customer information, internal emails, contracts, financial details, employee records, passwords, API keys, or proprietary business plans into an AI tool without considering where that information could eventually go. One mistaken sharing setting, copied link, browser extension, integration, or platform change could place that information outside the organization’s control.

The safest habit is simple: do not enter identifiable or confidential information into a public AI platform.

Remove customer names, employee names, company names, email addresses, account numbers, addresses, passwords, and other details that could identify a person or organization. Replace them with generic labels such as “Customer A,” “Employee B,” or “Company XYZ.”

Businesses should also establish clear rules for AI use. Employees need to understand which tools are approved, what information is prohibited, and how AI-generated conversations or documents may be shared.

AI can improve productivity, but convenience should never outrank confidentiality. Before entering information into any AI tool, ask one question:

Would this create a problem if it appeared online tomorrow?

When the answer is yes, or even maybe, do not enter it.
