Your Employees Are Using AI. Have You Set the Rules?
AI can help employees write faster, organize information, and tackle everyday tasks. But allowing employees to use it without guardrails can put your business at risk. Good intentions do not automatically mean safe decisions.
Consider an employee uploading a customer spreadsheet to summarize sales trends, pasting a confidential contract into a chatbot, or sharing internal financial information to generate a report. The goal may be productivity, but an outside service is now handling the information. Whether that is appropriate depends on the tool, its protections, and your business requirements. Employees need guidance before they hit “submit.”
An AI policy sets the rules of engagement. It explains which tools employees can use, what information they can share, which activities require approval, and what is off-limits. It also establishes who to contact when someone has a question or makes a mistake.
Those rules should be practical. Using an approved AI tool to draft a general meeting agenda might be allowed. Prohibit uploading employee records, passwords, or confidential customer information into an unapproved tool. Employees should also understand that AI-generated content needs review before it reaches a customer or influences a business decision.
Your policy doesn't need to become a fifty-page document nobody reads. Start with clear language, relevant examples, and expectations employees can follow. Explain the rules, make the policy easy to find, and update it as your tools and business needs change.
Having an AI policy is a simple measure that can strengthen protection. However, a document sitting in a folder will accomplish very little. Pair it with employee training, approved tools, and appropriate access controls so the rules become part of everyday work.
AI can bring real value to your business. Give employees a clear path to use it responsibly instead of leaving them to invent their own boundaries.
